Job Description

Are you a proactive and highly organised professional seeking an exciting opportunity to contribute to a leading strata management company? Bright & Duggan Group is looking for a dynamic Junior Personal Assistant to join our team full-time at our Crows Nest office.

About the role:

 

  • ​Monthly reporting and administrative report management.  
  • Draft external communications.  
  • Manages complex and changing diaries, including scheduling, negotiating appointments and meetings and organising associated and supporting documentation.  
  • Preparation of meeting minutes and agendas.  
  • Provide updates to the wider teams. 
  • ​Maintain a high level of confidentiality across all areas. 
  • ​Provides high-level executive, operational and administrative support. 
  • ​Coordinates requests for information from internal and external stakeholders and provides a professional first point of contact for all enquiries.  
  • ​Manages travel arrangements.  
  • ​Coordinates effective meetings by organising and collating meeting agendas, providing confidential minute taking and distribution and coordinating follow up actions. This includes room bookings and equipment set up such as teleconferencing, data projector and refreshments.  
  • ​Maintains systems for recording and storing information.  
  • Prepares correspondence and prepare briefing packs, reports and papers. ​ 

About You:

 

  • Ability to provide high-level executive, operational, and administrative support
  • Strong coordination skills to handle requests from internal and external stakeholders
  • Professional communication skills for being the first point of contact for enquiries
  • Competence in managing travel arrangements
  • Capability to organise and coordinate effective meetings, including preparing agendas, taking confidential minutes, and following up on actions
  • Proficiency in using systems for recording and storing information
  • Minimum educational qualification of HSC completion
  • Experience in administrative roles, ideally at least 2 years in an Executive Coordinator position
  • Alignment with team values such as being united, trusted, accountable, and visionary
