The Administration Officer (Front Desk) is responsible for being the first point of contact, the role will be the face of the office, providing our clients, both internal and external with excellent in customer service support.
The Role:
- First point of contact to meet and greet owners and clients.
- Management of incoming and outgoing calls, correspondence and calendar management.
- Data Entry.
- Strata roll updates (Management of personal data held in strata roll) and associated administration tasks.
- Management of information certificates and disclosure statements.
- Management of incoming and outgoing correspondence and eftpos transactions.
- Access device management for Buildings, Pools and Marina - programming and payments.
- Filing and archive management .
- Data updates and review.
- Mail out management.
- General administration and support for Strata and Facilities departments as directed.
- Management of meeting rooms and boardroom for daily meetings.
- Stationary, Kitchenette, Office supplies
- Process creation as required
About You:
•High energy with the ability to juggle competing priorities, with a proactive, “can do’ attitude
•Proficient in Microsoft Office Suite (Word and Excel in particular)
•Strong attention to detail and accuracy and ability to demonstrate
•Ability to trouble shoot in a variety of situations before escalation.
•Preferred IT knowledge
•Experience in administration
•Strong organisational and time management skills and ability to demonstrate
•Excellent communication skills, both written and verbal and ability to demonstrate
•Ability to work independently and as part of a team.
•Strong attention to detail and accuracy and ability to demonstrate
•Deal within KPI time frames promptly with phone, email and any other written communications to maintain a high service of professionalism
•This is an office-based position, administration intensive, high attention to detail role. You will be required to work business hours Monday to Friday 8.30am-5.00pm
